Q Space Ltd. (“Q Space”, “we”, “us”, “our”) is committed to protecting your privacy. This policy explains what personal information we collect, how we use and share it, and the choices and rights you have - in accordance with the New Zealand Privacy Act 2020.

1. Overview

This Privacy Policy applies to personal information we collect when you visit our website (qspace.co.nz), use the Q Space mobile app, become a Member, hire a meeting room, use our virtual mailbox service, attend an event, or otherwise interact with us. By using our website, app or services, you agree to the collection and use of information in accordance with this policy.

“Personal information” means information about an identifiable individual, as defined in the Privacy Act 2020. We only collect personal information that is necessary for the purposes described below.

2. Information We Collect

Information you provide to us

  • Identity & contact details - your name, email address, phone number, business or company name, job title, and postal address.
  • Membership & billing information - the plan you select, membership start and end dates, invoicing details, and payment information processed through our payment providers.
  • Virtual mailbox information - the mail we receive on your behalf and any forwarding or scanning instructions you give us.
  • Bookings & enquiries - details of tours, meeting room and desk bookings, event RSVPs, quote requests, and messages you send us.
  • Community content - information you choose to share in the Q Space app member directory, community channels, or at events.

Information we collect automatically

  • Device & usage data - your IP address, browser type, device identifiers, operating system, referring pages, the pages you view, and the dates and times of your visits.
  • Cookies & similar technologies - see Section 4 below.
  • Access & security data - for Members with 24/7 access, entry logs associated with your access key or security tag, and CCTV footage recorded for the safety and security of the premises.

3. How We Collect It

We collect personal information: directly from you (when you sign up, book, enquire, subscribe, or communicate with us); automatically (through cookies, analytics and server logs when you use our website or app); and, occasionally, from third parties (such as our booking and membership platform, payment providers, or publicly available sources like Google My Business). Where practicable, we collect personal information directly from you.

4. Cookies & Analytics

We use cookies and similar technologies to operate our website, remember your preferences, keep you signed in, measure traffic, and improve your experience. You can accept or decline non-essential cookies via the cookie banner shown when you first visit, and you can control cookies through your browser settings. Blocking some cookies may affect how the website works.

  • Strictly necessary cookies - required for core functionality such as navigation and secure areas.
  • Analytics cookies - including Google Analytics, which helps us understand how visitors use our site so we can improve it. Google Analytics sets cookies and collects information such as your IP address (which may be anonymised) and browsing behaviour.
  • Functional & preference cookies - remember choices such as language and previous interactions.

5. Third-Party Services

We use trusted third-party providers to deliver and improve our services. These providers process personal information on our behalf under their own privacy terms:

  • Google - Google Analytics, Google Maps (location and directions), Google reCAPTCHA (spam and abuse protection), Google Workspace (email and documents), and Google Business Profile (reviews and listings).
  • Optix - our coworking and membership management platform (optixapp.com), which powers member accounts, bookings, billing and the Q Space app. Information you provide to manage your membership is stored and processed by Optix.
  • Payment providers - to process membership fees and other payments securely. We do not store full card details on our systems.
  • Email & marketing tools - to send invoices, service updates and our newsletter (only where you have opted in).
  • Debt collection agencies - where fees remain unpaid, as described in our Membership Agreement.

These providers may store or process data outside New Zealand (see Section 10). We encourage you to review their privacy policies.

6. How We Use It

  • To provide, manage and administer your membership, bookings, mail handling and other services.
  • To process payments, issue invoices and recover outstanding fees.
  • To operate and secure our premises, including access control and CCTV.
  • To respond to your enquiries, requests and support needs.
  • To send you service-related communications and, with your consent, our newsletter and event invitations.
  • To understand and improve our website, app, spaces and services.
  • To build and support our member community.
  • To comply with our legal obligations and enforce our terms.

7. Sharing & Disclosure

We do not sell your personal information. We may share it with: the third-party service providers listed in Section 5 (who act on our behalf); other Members only to the extent you choose to share information through the community directory; professional advisers, insurers or debt collectors where reasonably necessary; and law enforcement, regulators or other authorities where required or permitted by law. As set out in our Wireless Internet Policy, we may cooperate with law enforcement and rights-holders in investigating suspected unlawful activity.

8. Security

We take reasonable steps to protect personal information from loss, misuse, unauthorised access, disclosure, alteration or destruction, including secure facilities, access controls and reputable service providers. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.

9. Retention

We keep personal information only for as long as necessary to fulfil the purposes described in this policy, to comply with our legal, accounting and tax obligations, and to resolve disputes. When information is no longer required, we securely delete or de-identify it. CCTV footage is retained for a limited period and then overwritten in the ordinary course.

10. Overseas Storage

Some of our service providers - including Google and Optix - store and process information on servers located outside New Zealand. Where personal information is disclosed overseas, we take reasonable steps to ensure it is protected by comparable safeguards to those required under the Privacy Act 2020.

11. Your Rights

Under the Privacy Act 2020 you have the right to request access to the personal information we hold about you, and to request correction of information that is inaccurate, out of date, incomplete or misleading. To make a request, contact us using the details in Section 13. We may need to verify your identity before responding, and we will respond within the timeframes required by law. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner (privacy.org.nz).

12. Marketing Choices

We only send marketing communications, such as our newsletter, where you have opted in. You can unsubscribe at any time using the link in any marketing email, or by contacting us. You will still receive essential service and account communications relating to your membership.

13. Changes & Contact

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated “Last updated” date. Your continued use of our website and services after changes take effect constitutes acceptance of the revised policy.
